This policy explains how GrayFour, an Aspyre Labs product, handles personal data when you use GrayFour. It is written for the firms who use GrayFour and for the clients whose records those firms manage.

Data we process

  • Firm account details: names, roles and contact details of your team.
  • Client records you import: entities, people, beneficial owners and documents.
  • Operational data: deadlines, tasks, reminders and audit logs.

How your data is stored and secured

Data is encrypted at rest and in transit. Documents are served behind signed, expiring links rather than public URLs, never public storage.

Isolation and access

GrayFour enforces strict per-firm isolation. One firm cannot see another firm’s data. Access to records is written to a full audit trail.

Your data is portable

You can export your full client book at any time, in open formats. Leaving GrayFour never means losing your records.

Retention

We retain data for as long as your firm maintains an account, and for any period required to meet record-keeping obligations. Specifics to be confirmed in the published policy.
